It applies to our travel booking service, to the client portal we call Window Seat, and to anything you send us by e-mail, message or document.
02What we hold, and why

We do not build advertising profiles, we do not sell anything to data brokers, and we do not run third-party advertising trackers on Window Seat.
03Where it comes from
- From you — what you tell your advisor, and what you upload.
- From documents you send us. When you send a passport, ticket or invoice, we read the details out of it automatically so nobody has to retype them. The extraction is proposed to a person, who confirms it before it is saved.
- From suppliers — airlines, hotels and visa services return booking references, ticket numbers and status updates against your trip.
04Automated reading, and where a person decides
We use software, including AI models, to read documents you send us and to draft itineraries and suggestions. Two limits apply, and they are built into the system rather than promised:
- Nothing is committed by a machine. An extraction or suggestion is proposed; a member of our team confirms it before it becomes part of your record or your booking.
- No decision about you is made automatically. Nothing here decides whether you may travel, what you are charged, or whether an application succeeds.
Document contents are sent to our AI providers only for the purpose of reading that document, and are not used by us to train models.
05Who else sees it
Only where a trip needs it, and only the part they need:
- Airlines, hotels, transport and activity suppliers — the traveller's name and the details that booking requires.
- Visa authorities, embassies and their processing centres — whatever that application demands, which is usually more than we would otherwise ask for.
- Payment providers — to take a payment. They handle the card; we see only the result.
- Our software providers — hosting, e-mail and the AI services described above, under contract and for no purpose of their own.
- Where the law requires it — tax authorities, or a lawful request we are obliged to answer.
Where you travel as part of a group or on a company account, the person organising that trip can see the details of the trip they are arranging. How we share data sets this out in full.
06Where it is kept, and for how long
Your records are held on servers in India. Some suppliers — an airline, a hotel abroad, an embassy — are necessarily outside India, and sending them your details is the only way to make the booking you asked for.
We keep booking and financial records for as long as tax and company law requires. Passport and visa documents are kept while they are current and for as long as an application or a trip may need them, and are removed when they no longer serve either. Preferences and travel history are kept while you remain a client, and until you ask us to remove them.
07What you can ask us to do
- Ask what we hold about you, and get a copy.
- Have something corrected — a misspelt name on a passport record matters more here than most places.
- Ask us to delete what we no longer need. We cannot delete what tax law requires us to keep, and we will tell you which is which.
- Withdraw a consent you gave, without affecting what was lawful before you withdrew it.
- Complain to us, and to the Data Protection Board of India if we have not put it right.

09Cookies
Window Seat sets one cookie, to keep you signed in to your own trip page for the life of the link your advisor sent you. There are no advertising cookies and no third-party trackers, so there is nothing here to opt out of.
10Changes
If we change this policy we will change the date at the top, and where the change is significant we will tell you rather than rely on you noticing.
